This policy explains how Barnett Dermatology ("we," "us") handles information in our appointment scheduling app and website. Because we are a healthcare provider, your health information is also protected under HIPAA and our Notice of Privacy Practices, which this policy supplements.

Information we collect

• Contact & identity: your name, date of birth, email address, and mobile number.
• Appointment details: the office, visit type, and time you select.
• Photos you provide: images of your driver's license / ID and the front and back of your insurance card(s), captured with your device camera or chosen from your photo library.
• New-patient information: the health and demographic details you enter on the new-patient form.
• Payment: copays are processed by PayPal. We do not receive or store your full card number.
• Device push token: if you allow notifications, so we can send appointment reminders.
• Basic usage data: anonymous in-app events (e.g., which step you reached) to improve the booking experience.

How we use your information

• To schedule and manage your appointment and prepare your chart.
• To verify your identity and insurance before your visit.
• To send appointment confirmations and reminders by email and push notification.
• To process your copay.

How your information is stored and shared

Your information is stored in HIPAA-covered Google Cloud and Google Workspace environments. Your ID and insurance photos go directly into a secure folder for your chart, visible only to your care team. We share information only with service providers who help us operate (for example, Google for secure hosting and PayPal for payments), each under agreements that protect your data, and with others only as permitted by HIPAA and our Notice of Privacy Practices.

Camera and photos

The app accesses your camera and photo library only when you choose to add an ID or insurance photo, and only to upload those images to your chart. Images are not saved to your device by the app.

Notifications

If you enable notifications, we use them solely for appointment reminders and updates. You can turn them off at any time in your device Settings.

Data retention and your choices

We retain appointment and health information as part of your medical record per our legal and regulatory obligations. You may request access to, correction of, or deletion of your information, subject to those obligations, by contacting us using the details below.

Security

Information is encrypted in transit (HTTPS) and protected with access controls limiting it to your care team and authorized staff.

Children

The app is intended for use by patients and their parents or guardians; it is not directed to children to use independently.

Changes to this policy

We may update this policy and will revise the effective date above when we do.
